Job Description
Job Summary:The Elementary Administrative Assistant plays a key role in supporting the daily operations of the school. This individual will provide administrative and clerical support, ensuring a welcoming and efficient environment for students, parents, faculty, and visitors. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple tasks in a fast-paced school setting.
Key Responsibilities:
General Administrative Duties:
Greet and assist visitors, parents, and students in a professional and friendly manner.
Manage incoming phone calls, emails, and general inquiries, directing them as needed.
Maintain accurate records, files, registrations, and other school documentation.
Assist with processing special donations and acknowledgments.
Proofread and collaborate with program staff on school communications and materials.
Maintain office supplies, equipment, and telephone systems.
Oversee and update the master calendar for school events and programs.
Prepare reports, documents, and other administrative materials as needed.
Student Support & Office Assistance:
Answer phone calls and inquiries related to student concerns and support services.
Create and maintain a welcoming and positive environment in the office and school.
Receive and assist walk-in guests, including students, parents, faculty, and community members.
Respond to or redirect inquiries, providing information and resolving issues as necessary.
Receive, request, and accurately record student transcripts.
Support crisis intervention efforts by directing students to appropriate school resources.
Maintain and organize student records, ensuring compliance with confidentiality policies.
Properly dispose of outdated records and materials in accordance with school policies.
Qualifications & Skills:
Minimum of 3+ years of administrative experience, preferably in a school setting.
Strong discretion and ability to maintain confidentiality in handling sensitive information.
Exceptional organizational skills and attention to detail.
Proficiency in Microsoft Office, Google Suite, FACTS, and other software
Excellent verbal and written communication skills.
Ability to work independently, take initiative, and multitask effectively.
Professional demeanor with a warm and welcoming approach to students and families.
Preferred Qualifications:
Experience in a Catholic school or faith-based educational setting.
Familiarity with school policies, student services, and general office operations.
