Job Description

Position Overview
The Parish Administration Assistant plays a vital role in ensuring smooth and efficient operation of the parish by providing essential administrative support, managing communications, and assisting with a variety of operational tasks. This is a dynamic, catch-all position that blends administrative, liturgical, event coordination, and office management duties to support the clergy, staff, and parishioners. The ideal candidate is an organized, adaptable professional with strong communication skills, a customer service-oriented attitude, and a commitment to the mission of St. Thomas a Becket Catholic Church.

Key Responsibilities:

1. Administrative Support & Office Management - Serve as the primary point of contact for parishioners and visitors, managing phone calls, emails, and inquiries.
2. Parish Calendar & Event Coordination - Maintain the parish calendar, schedule events and meetings, and coordinate logistics for parish events.
3. Sacramental & Liturgical Support - Maintain sacramental records and assist with organizing sacramental events, including preparation for Masses and special liturgies.
4. Communications & Public Relations - Prepare and distribute bulletins and communication materials. Assist with managing the parish website and social media platforms.
5. Donor Relations - Track donations, acknowledge contributions, and assist with donor communications to ensure donors feel valued and appreciated.
6. Office Supplies & Equipment Management - Order and maintain office supplies and manage office equipment to ensure smooth office operations.
7. Record Keeping & Documentation - Maintain accurate records for sacramental events, donations, and other church-related documentation, ensuring timely updates.
8. Volunteer Coordination - Assist in managing volunteers to help with ministries and events.
9. Payroll Backup - Assist in payroll processing on an as needed basis.
10. Other Duties - Attend staff meetings and perform additional tasks as assigned by the Pastor or Church management.

Qualifications:
• Practicing Catholic in Good Standing.
• High school diploma or equivalent (Associate's degree or higher preferred).
• Proven experience in office administration or clerical work, preferably in a church setting.
• Strong organization and time-management skills, with ability to prioritize tasks effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, Publisher) and Google Workspace.
• Excellent written and verbal communication skills.
• Ability to handle sensitive and confidential information with discretion.
• Friendly, approachable demeanor with a strong customer service orientation.
• Knowledge of basic accounting practices is a plus.

Compensation is negotiable and commensurate with experience and education.
