Hours per Week: 40 (non-exempt)

Starting Hourly Rate: $22.53

Position Description:

The Administrative Assistant serves as a the "face" of Hogar Immigrant Services - Legal, welcoming clients at the front desk and responsible for handling inquiries via the office's main phone line and walk-ins while also handling other administrative tasks for the office.

Position Responsibilities:

Greet clients and other visitors to the office during regular business hours
Handle a large volume of telephone calls, in both English and Spanish, striving to answer phone calls by the third ring
Transfer calls quickly and accurately to correct parties, and convey messages accurately including names of callers, dates and times of calls, and return telephone numbers
Check voicemail at least twice daily and return calls
When necessary, knowledgeably refer clients to other Catholic Charities programs and/or other external partners for cases Hogar is unable to handle or for any non-legal needs
Assist in accepting client payments, in person and by phone
Assist with scheduling clients for consultations through Hogar's online scheduling software, particularly for clients receiving fee waivers and/or clients unable to schedule themselves online
Serve as a physical office presence to greet any visitors and assist staff with any administrative needs

Other Duties:

Assist with filing client paperwork and correspondence
Assist with document translations
Assist with basic data entry in Hogar's case management software
Keep materials and resources at the front desk and in the reception area organized and updated
Other related duties as assigned

Qualifications & Skills:

Fluency in Spanish (written and verbal) required
Cultural competency and prior experience working with the immigrant community preferred
Excellent interpersonal and customer service skills
Excellent organizational, time management, attention to detail, and administrative skills
Demonstrated computer literacy and knowledge of Microsoft Office 2007 or later
Demonstrated ability to work in a team environment

Education and Experience:

Minimum of a high school diploma or equivalent is required
One or more years of related experience preferred
Knowledge of and experience with immigration law preferred
