Association of Catholic Colleges and UniversitiesPosition Title: Executive Assistant to the President
Reports to: President
Job Purpose: Manage the day-to-day operations of the office of the President and provide a full range of administrative and clerical services. As a key member of the President's staff, must use discretion and good judgment in dealing with sensitive and confidential matters on a daily basis. Other duties and responsibilities include tasks associated with the Annual Meeting and other special projects as determined from time to time.
Primary Responsibilities:
1. Provides a full range of administrative assistance to the President which includes but is not limited to: preparing correspondence and reports, spreadsheets, and PowerPoint presentations; maintaining calendar and scheduling meetings/events; arranging travel; reconciling monthly expenses, organizing/maintaining all files; and assembling confidential documents related to the President's involvement on various high level committees and boards.
2. Responds to information requests from internal and external contacts, including board members, presidents, donors, governmental offices, and professional associates. Refers other requests to the appropriate person or office.
3. At the direction of the President and Vice Presidents, coordinates meetings, retreats, workshops and other events for the association. Organizes logistics such as food, hotel rooms, supplies, facilities, materials, transportation and communication needs for events. Provides support for the Annual Meeting, such as handling registration, hosting speakers, overseeing specific sessions, and other duties.
4. Creates and maintains project files for the President and the association in traditional and electronic formats. Documents office procedures.
5. Manages internal projects as assigned, working collaboratively with other ACCU staff. Facilitates key external relationships that support those projects.
6. Assists in supporting the work of the association as needed.
Qualifications:
Education: Bachelor's degree preferred.
Experience: Minimum of 5-10 years office administrative experience. Experience in higher education or a professional association is strongly preferred.
Required knowledge, skills and abilities:
o Excellent oral and written communication skills required.
o Must be able to format and edit correspondence and reports.
o Ability to make travel arrangements and reconcile receipts and other documents.
o Must be highly organized and able to handle multiple projects, people and schedules, with strong attention to detail.
o Knowledge of higher education and the Catholic Church preferred.
o Must be able to work with diverse personalities and offices in a professional, courteous and confidential manner.
o Working knowledge of financial statements, worksheets, and controls preferred.
o Maintains confidentiality of data and information in all matters.
o Proficient in Microsoft Word, Excel and PowerPoint. Experience in calendaring, e-mail, group scheduling, website updates. Must be willing to learn emerging technologies.
o Must be authorized to work in the U.S. for any employer.
Work Environment:
ACCU is currently following a hybrid work schedule, with two days of remote work. This status will be revisited on a quarterly basis to ensure the needs of the association are met and may change at any time. Staff must remain flexible with days required in the office.
