Job Description

SUMMARY:

This position provides administrative support, leadership, and program oversight for the leadership of the Secretariat for Evangelization and Pastoral Planning, which includes the offices for Faith Formation, Catholic Schools, , Campus Ministry, Pastoral Planning, and Family, Youth, and Young Adult Evangelization.

The ideal candidate is an intentional disciple who is highly motivated, creative, and is passionate about the mission of the Church to evangelize.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Oversee all administrative functions needed to support the Secretary for Evangelization and Pastoral Planning, including, but not limited to the following:
- Serve as first point of contact for internal and external individuals with the Secretariat, including pastors, donors, consultants and the public.
- Answer inbound telephone calls in a knowledgeable and professional manner.
- Coordinate meetings, events and projects.
- Manage schedule/calendar.
- Anticipate office needs in all administrative areas and follow through on initiatives with little direct supervision.
- Manage expense records.
- Complete miscellaneous routine administrative tasks such as filing, copying, typing, etc.
- Interact in positive and professional manner with staff and visitors at the Pastoral Center.
- Research, draft and edit correspondence for Secretariat leadership.
- Review and summarize files, e-mails and other documents, often on complex and highly confidential matters.

Active agent in Secretariat wide initiatives.

Assist leadership in strategic planning for the Secretariat.

Investigate assigned problems.

Organize and manage events and programs as needed.

Act as liaison for Catholic Scouting, including management of Scouting Award/Emblems.

Assist with answering inbound calls for the Catholic Schools Office.

Other duties as may be assigned.

QUALIFICATIONS:

An intentional Catholic disciple who is in good standing, who understands and supports the mission of the Church and of the Diocese of Providence.

Bachelor's degree preferred, plus 5+ years in a support role in a business, education or start-up office.

Must have experience working or volunteering for a Catholic entity and knowledge of the Catholic faith and the Church's mission.

Experience in strategic and/or pastoral planning a plus.

High level of proficiency in Microsoft Office required.

Experience working with the public and handling issues/complaints in a diplomatic manner.

Demonstrated ability to handle confidential, time-sensitive and critical matters using good judgment, tact, respect and discretion.

Ability to anticipate needs, establish priorities, maintain confidentiality, demonstrate discretion, project a positive attitude and exercise a high level of professionalism.

Strong skills in organizing, multi-tasking and following through in a busy, changing environment with little direct supervision.

Excellent relationship-building skills with a focus on service to others. A high level of energy, creativity and humor. Ability to establish trust and work collaboratively.

Ability to communicate effectively through e-mail and/or telephone.

Strong communication skills (both oral and written).
