Job Description
ABOUT US:The Missionary Sisters of the Society of Mary are a religious congregation of women within the Catholic Church who are consecrated to God by the vows of chastity, poverty and obedience and who devote their lives to the service of the mission of Christ, in the spirit of Mary, throughout the world.
The SMSM began with 11 French women who traveled to the Pacific Islands between 1845 and 1860 to serve in the missions begun by the Marist Fathers. The Sisters lived close to the people, teaching and nursing, and followed a way of life based on the rule and spirit of the Marist Fathers. Women from the islands joined, and later women from Europe, Australia, New Zealand, and North America began to join. After many years these Sisters, scattered as they were throughout the Islands, became organized into one religious congregation. The SMSM congregation and Constitutions were approved by Rome on December 30,1931.
JOB SUMMARY:
The Archivist will organize, preserve, protect and make available the records and materials which pertain to the origin, history and growth of the SMSM. They will understand and be committed to the mission of the SMSM while overseeing the preservation of our institutional history.
POSITION OBJECTIVES and RESPONSIBILITIES:
• Organize, catalog, preserve, update and maintain archival records
• Digitizing Finding Aids Books to the Classification Index for SMSM Archives
• Process, arrange and documentation of unprocessed collections
• Oversee environmental protection of archival material, including storage systems, temperature and humidity levels, preservation and security
• File maintenance of Regional Communications such as circulars, Chapter procedures and correspondence of the Leadership team
• Organization and maintenance of books and articles written by and/or about the Sisters including articles and clippings highlighting the lives and ministries of the SMSM
• Identification and classification of photographic records
• Recordkeeping of Regional celebrations, jubilees, significant events, etc.
• Accession of new archival materials including identification process, handling of archival enclosures such as boxes, folders, photographic sleeves, etc. and contents cataloging
• Responsible for semi-annual statistical reporting for Regional personnel and periodic Diocesan statistical reporting re: Women Religious
• Creation and maintenance of Sisters' Personnel files and related documentation concerning transfers, Passports, certificates, etc.
• Update and maintenance of Personnel Database, Information Cards, and Binders
• Receive archival requests and retrieve materials using relevant technology or Finding Aids
ESSENTIAL SKILLS:
• Knowledge of fundamental archival principles and knowledge of national standards in archival cataloging
• Excellent problem-solving skills; ability to think creatively and adjust to changing needs and priorities.
• Exceptional organization skills as well as strong communication skills, both written and verbal
• Ability to work with confidential materials and maintain professional confidentiality
EDUCATION and EXPERIENCE:
• Minimum of two years' professional experience working in archives
• Relevant Computer skills: database management software, Microsoft Office (Word and Excel), Digital Imaging and Editing software, digital asset management software
• Experience with a variety of record formats including manuscripts, print materials, photographs, electronic media, artifacts and artwork
• Bachelor's degree in Library Sciences, Archives and Records Management or related field; Master's degree strongly preferred
PHYSICAL REQUIREMENTS:
• This position requires frequent retrieval of records and books from storage areas with some bending and lifting of cartons of papers or boxes.
• Ability to lift up to 30 pounds
• Operation of standard office equipment is required.
• Most of the work is performed in-person, in the storage and work rooms on-site.
