POSITION SUMMARY:
Shenandoah University - Winchester, VA
The mission of the Shenandoah University Catholic Campus Ministry is to promote, encourage, and engage all aspects of faith life on campus. The Campus Ministry coordinates Masses, spiritual activities, and programs that seek to bring students, faculty, and staff into a deeper relationship with Jesus Christ and His Church.
The Administrative Assistant II performs a variety of complex and confidential administrative and development related duties in support of the student led Catholic club. This position works independently under the general supervision of the Executive Director of the Office of Youth, Campus, and Young Adult Ministries or as part of a team on special or ongoing projects.
This position is for an average of 10 hours per week while school is in session, and limited hours during school breaks and the summer months.
PRINCIPAL DUTIES:
• Provide administrative support to the Chaplain and Associate Campus Minister.
• Assist Chaplain with preparation of annual campus ministry budget.
• Compile, record, maintain, and track financial records for all campus ministry events. Submit receipts to Chaplain for processing with Diocese.
• Support, coordinate, and publicize special meetings and events, including all meeting logistics and registration for student events.
• Design and maintain spreadsheets, databases, and mailing lists.
• Photocopy and scan materials.
• Manage and purchase food and supplies following the budget under direction of the Chaplain.
• Maintain an inventory of office and religious supplies as well as other collateral material.
• Assist with the upkeep and operation of the Chapel; order all related supplies and handle arrangements for Sunday Mass intentions and intercessions; ensure that all altar linens used for Mass are cleaned and pressed; coordinate and schedule Sunday Mass servers, readers, and musicians; arrange for or personally perform set up and take down activities necessary for Sunday Mass in Goodson Chapel.
• Serve as point of contact for the Chaplain with the Student Club Officers of the Campus Ministry Team. Provide information from the officers to the Chaplain and others as needed.
• Serve as point of contact for communications with Shenandoah University Office of Student Life and Office of Spiritual Life as well as the Faculty Advisor.
QUALIFICATIONS:
• Knowledge/Skills: Proficient in Microsoft Office (Word, Excel, and PowerPoint); highly proficient in use of common office equipment, including copiers and scanners; strong verbal and written communication skills, organizational skills and attention to detail; ability to use computerized software/database to process and keep records; strong problem-solving ability and an aptitude for numbers; ability to comprehend and apply specialized nomenclature, systems and procedures; ability to handle sensitive situations with discretion and confidentiality; high level of energy and enthusiasm; active listener; team player.
• Education Required: High school graduate or equivalent.
• Years and Types of Experience: 2 to 4 years office experience with job responsibilities requiring use of computerized software/database to process and maintain records.
