POSITION SUMMARY
St. Anthony of Padua Catholic Church is seeking a committed and professional individual to go on mission and serve our parish as an operations and communications manager. This role will oversee and organize the church office and directly manage the clerical business work, physical office, record-keeping, processes, coordination, and external-communications of our parish. The role will be well-supported by our director of parish life, and will manage part-time office assistant(s) and stipend workers as necessary to accomplish concrete goals and objectives, as well as routine tasks. DUTIES AND RESPONSIBILITIES

OPERATIONS AND OFFICE MANAGEMENT
- Oversees the timely opening and closing of the parish office, handles intake of parishioners and visitors, answers phone calls, and responds to all email correspondence as needed.
- Directly manages part-time office assistants to balance work-load and bandwidth; assigns work, sets goals, and manages projects; manages stipend workers as well if relevant.
- Manages the ordering and organization of all office supplies.
- Coordinates with facilities, maintenance, liturgy and faith formation to purchase and stock other parochial supplies as necessary.
- Manages our processes for the collection and keeping of all Sacramental records, Diocesan required record filing, and digital record organization; this is an opportunity to re-envision and implement a new system for our organization and storage alongside the director of parish life.
- Supports director of parish life with minor HR implementation including cataloging timesheets and payroll, and coordinating employee tax forms.
- Supports the director of parish life by coordinating and planning internal and non-volunteer-lead events.
- Coordinates with the director of parish life to help manage, re-envision, and implement the routines, processes, and procedures of the parish.

COMMUNICATIONS MANAGEMENT
- Manages the creation and distribution of the parish bulletin; depending on skill set, may implement these responsibilities individually or manage somebody else who does.
- Manages digital outreach to the parish, including Evangelus emails, myParish app, and social media accounts; depending on skill set and bandwidth, may perform these responsibilities individually or manage somebody else who does.
- Helps manage and coordinate internal communications to staff, volunteers, committees, councils, and other stakeholders as necessary.
- Coordinates meetings, calendar, and schedules for priests.
- Under the director of parish life, coordinates and plans both physical and digital parish calendars to ensure that there are no conflicts, and that events and activities align with the parish's priorities.

BUSINESS CLERKING
- Routinely manages and updates our diocesan-reccomended CRMs: Parishsoft Giving, Accounting, and Family Suite platforms.
- Routinely coordinates with our diocesan-contracted accountant to provide clerical needs around payables and receivables, payroll and timesheets, deposits, bank statements, and more.
- Audits and reviews Sunday envelopes, coordinates with volunteer money counters on weekly basis to ensure accuracy, timeliness, and delivery.
- Pays bills and writes checks as needed; prepares checks for signatures.
- Manages vendor relations, services, payments, and paperwork.
- Minor and non-routine responsibilities include: implementing electronic fund transfers, preparing an annual financial report to the parish, advisory to the budget committee and finance council, and coordinating with diocesan accountant to file all state, federal, and diocesan reports.

Aside from listed responsibilities, the operations and communications manager will be expected to participate in professional development and faith formation with other staff. To that end, the operations and communications manager should expect to be supported with vision, clear expectations, and professional management. QUALIFICATIONS AND EXPERIENCE
- Must be a practicing Catholic in good standing with the Church and fully committed to Catholic moral teachings and tradition.
- Must pass a background check and attend local training for the protection of children and youth.
- Must be an active parishioner of St. Anthony of Padua Catholic Church, or be willing to relocate. Must be willing to engage in a small-town atmosphere as an intentional member of a parish.
- Must be able to see the professional role, the challenges it provides, and the routine work of church administration as an opportunity to go on mission and bring Christ to others.
- Must be skilled with and comfortable using technology such as digital calendars, Google Suite/Microsoft Office, parish databases, communication platforms and more-digital design and social media management experience is a plus, but not required .
- Must have strong verbal, written, public, and interpersonal communication skills. Candidates must be able to confidently and warmly receive visitors to the office and our facilities.
- Must have strong organizational skills. Candidates must be excited to create and maintain order, ensure things are in the right places, and take ownership over an office environment.
- Must have a strong work ethic and possess good time management and task management; this role is perfect for a tenacious doer who enjoys crossing tasks off of a list and ensuring that things get done properly.
- 3+ years of experience in operations, communications, or administrations is desired-previous experience with personnel management is a plus, but not required.
- Minor experience with accounting, bookkeeping, spreadsheets and/or clerical business work is a plus, but not required-this role coordinates with an accountant, but is not an accountant/bookkeeping role itself.
- For those familiar with the Table Group's Working Genius: an ideal candidate definitely has tenacity as a working genius; Galvanizing, Enablement, and Discernment would be strengths in this role as well.
