Job Description

SUMMARY

The Director of Operations & Administration (DOA) is responsible for overseeing the daily administration and operations activities of our growing community at St Edward Church & School. In this role you will report directly to the pastor. You will work directly with the pastor, principal, and the leadership team, to help evolve faithfully and professionally the business practices and resources, ensuring they are well-coordinated, efficient, and compliant with parish and diocesan requirements. You will be asked to help foster greater teamwork, focus, and communication with both our staff and the parish community. The scope of responsibility for you in this role is very wide and thus requires a thorough knowledge of various business activities including Financial Management, HR, Marketing & Development, Supplier Management, Facilities Management, Project Management and Strategic Planning. The ideal candidate is an experienced and effective communicator who can, through modeling servant leadership, work across an organization to build teamwork while improving performance, productivity, and cost efficiency.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

1. Responsible for the oversight and performance of the following areas:
-Business Office
-Facilities Management
-Marketing & Development
-Administrative Support
-School Safety

2. Direct performance of the following functional scopes:
-Human Resources
-Supplier & Service Provider Management
-Grant funding programs execution and oversight
-Plan and monitor the day-to-day running of the business to ensure smooth performance
-Liaise with leadership team to make decisions for operational activities and strategic initiatives
-Define, implement, and revise operational policies to improve overall performance
-Monitor financial performance, issue committee reports, and conduct budget reviews.
-All other duties as assigned.

SUPERVISORY RESPONSIBILITIES

This position supervises the following departments:
-Business Office
-Facilities Management
-Marketing & Development
-Administrative Support

QUALIFICATIONS

-Ability to communicate effectively in written and spoken English with clear and relevant content.
-Excellent organizational skills, with the capacity to prioritize work, meet strict deadlines, and balance commitments.
-Knowledge of fundamentals of financial management and accounting practices with ability to perform variance analysis of income statements and balance sheets.
-General knowledge of commercial buildings' mechanical systems (preferred).
-Ability to learn new computer skills as needed.
-Enthusiasm, drive, and ability to work effectively in a team and independently.
-Highly ethical and ability to maintain confidential information.

EDUCATION and/or EXPERIENCE

-Bachelor's degree in business management and/or administration (or equivalent).
-Minimum of 7 years of experience in operations and/or business administration
-Proven experience in managing finances, human resources, and facilities management

-Proficient use of Microsoft 365 applications; Word, Excel, PowerPoint, Teams, and Outlook
-Excellent leadership and organizational abilities
-Strong negotiation and interpersonal skills
-Excellent written and oral communication
-Proven knowledge of performance evaluation metrics in a business setting
-Leadership experience in building and motivating teams
-Effective prioritization and time management practices

PHYSICAL DEMANDS

While performing the duties of this job, the employee is required to stand, walk, sit, use hands to feel objects with tools or controls, reach with hands and arms, talk, and hear. WORK ENVIRONMENT

Office environment Monday - Friday located in the office of the Church with occasional evenings or weekends in support of special events and council meetings.
