Purpose and Scope
To support the Diocese of Phoenix in its mission of Encountering the Living Christ, this position will provide leadership support to the Donor Services Manager and be responsible for the coordination of OMA special projects while providing administrative support to the Executive Director of Office of Mission Advancement and to the Mission Advancement leadership as requested.

Essential Job Functions

•Supervises and directs the Donor Services team and donor communications and ensuring the highest level of customer care including, and not limited to effective and accurate gift and pledge processing, data entry and data management, reporting and analytics and lockbox.
•Ensures that donor phone calls, email and written correspondence are addressed in a timely and accurate manner.
•Provides leadership support to ensure that the Donor Services team completes effective and accurate donor payment processing and data entry.
•Provides cross-training opportunities to Donor Services team members to best support the needs of donors.
•Maintains easily accessible and current donor services processes and procedures that best support the compliance and consistency of donor services expectations.
•Collaborates with the OMA Directors to ensure all contact with prospects and donors is thoughtful and well-coordinated to avoid conflicts with the efforts of Diocesan Appeals, parish relationships and other fundraising efforts.
•Responsible for overseeing and supporting, when necessary, phone coverage, ensuring all calls and inquiries are handled in a professional, timely, welcoming and confidential manner.
•Assists with pastor, parish, and donor correspondence.
•Supervises the processing and distribution of daily mail.
•Maintains inventory of office supplies and printed materials ensuring that adequate supplies are readily available for the department.
•Proficiently accesses information from Diocesan databases and provides critical information to supervisors (e.g., Blackbaud, etc.).
•Assists and attends all events sponsored by the Office of Mission Advancement as directed by corresponding supervisors.
•Performs any job-related functions deemed necessary for the smooth flow of operations of the Office of Mission Advancement and as directed by supervisor and/or the Executive Director.

Knowledge, Skills and Abilities Required
•Must possess excellent organizational skills, proficiency in managing different schedules, thrive under tight deadlines and ever-changing priorities.
•Excellent written and verbal communication, interpersonal and customer service skills.
•Ability to effectively work independently and in collaboration with other members of the department in a team setting, and under the direction of OMA Directors.
•High level of professionalism in interaction with volunteers, donors and other Diocesan employees.
•Ability to utilize professional, courteous telephone techniques.
•Ability to maintain confidentiality of sensitive information.
•Possess a high-level of knowledge of administrative procedures.
•Ability to read, write and communicate in Spanish, preferred.
•Highly proficient in the use of Microsoft Office, and Blackbaud Raiser's Edge NXT fund-raising software.
•Bilingual in English/Spanish preferred.
•Ability to work occasional evenings and/or weekends.

Minimum Qualifications
•Must have knowledge of Catholic Church teachings and structures.
•Active, practicing Roman Catholic in full communion with the Church.
•Ability to exercise prudent and independent judgment, and maintain efficient, confidential procedures in handling Diocesan matters.
•Associate degree or equivalent work experience.
•Vocational training in office procedures including computer applications.
•At least three years' experience supervising a team including and not limited to day-to-day supervisory guidance and conducting performance evaluations.
•Interest and willingness to grow into a managerial leadership position within the Diocese.

Physical Demands
•This is largely a sedentary role with regular travel to other locations in the Diocese of Phoenix. This job may include filing and would require the ability to lift files, open filing cabinets and bend or stand, as necessary.
