Job Description
Reporting directly to the Pastor, the Business Manager oversees the administrative and business functions of the parish in an accurate, efficient, thorough, professional, and timely manner, so as to support the parish's mission and ministry.Qualifications
• Given the strong ministerial component to the position, the Business Manager must be a practicing Catholic and registered member of a Catholic parish faith community.
• BA/BS degree in Business, Finance, Accounting, or related business discipline from an accredited college.
• Business management experience, including financial oversight, human resources, and facilities management, with a minimum of three years of previous supervisory experience.
• Must have the ability to develop and maintain positive relationships with employees at all levels.
• Requires a high level of computer expertise in Microsoft Office products, including Word, Excel, PowerPoint, and Outlook, and experience with accounting software (Quickbooks preferred).
• Must successfully pass the required background check and all requirements of the Program for Child and Youth Protection prior to employment and maintain a satisfactory background check throughout employment.
Essential Duties and Responsibilities:
Financial Responsibilities
• Assures that sound financial management is practiced by the parish. This includes development and monitoring of budgets; assurance of timely and accurate reporting to parishioners, the parish Finance Council, the diocese and various government agencies; assurance of proper deposit, disbursement and accounting for all parish community-related funds; and oversight of all major fundraising activities.
• Trains and supervises the parish Staff Accountant.
• Responsible for tracking the financial business transactions that include, but are not limited to: accruals, cash transactions, analyzing financial statements, reconciliation of bank account etc. Must ensure proper accounts are being charged and accurate records are kept.
• Responsible for overseeing the tuition-related activities of the school.
• Ensures compliance with the diocesan Temporal Goods Policies.
• Responsible for coordinating and supporting the parish self-audit process and ensuring that adequate financial controls are in place and documented.
• Reviews budget and financial reports in conjunction with the Pastor, Staff Accountant, and Finance Council.
• Attends all parish Finance Council meetings and provides a financial update to the Council.
• Assists the Pastor and parish leadership in developing and implementing a long-term strategic plan for the parish's growth and sustainability.
Coordination of Parish Calendar and Campus Events
• Oversees parish calendar and scheduling for all parish activities and ensures that adequate space and materials are available in parish facilities for parish events, meetings, and services.
• Ensures facility and campus readiness for liturgies, parish events, and school events.
Personnel Responsibilities
• Assists the Pastor in recruiting, hiring and dismissing employees with the guidance of the diocesan Human Resource Department; maintains an adequate level of knowledge on current employment laws.
• Supervises all parish employees not directly accountable to the Pastor or, in the case of the school, to the Principal.
• Creates and updates a parish employee handbook in consultation with the pastor and assistance from the diocesan Human Resource Department; ensures that the handbook and any revisions are reviewed by an attorney for sound legal policies before presentment to employees.
• Provides new employees with orientation subject to the parish employee handbook, new-hire paperwork, I-9 verification, payroll forms, BCI/FBI backgrounds checks, introductions, and expectations of the workplace.
• Establishes and maintains position descriptions and personnel evaluations for employees.
• Oversees and communicates regularly with the parish Compliance Officer for the diocesan the Policy for the Protection of Minors and Young People.
Administrative Responsibilities
• Oversee management of the parish membership database and communication with parish members about upcoming events and activities.
• Maintains accurate parish and facilities records including repair, construction, financial, and cemetery records, when applicable.
• Coordinates insurance and other benefit programs of the parish, employees and property.
• Ensures compliance with the policies, procedures and guidelines of the Protected Self Insurance Program of the Diocese of Toledo.
• Attends Finance Council training at least once every three years, which focuses on Temporal Goods Policies that must be implemented at the parish.
Facilities Management Responsibilities
• Ensures that parish facilities and property is maintained in a safe and aesthetic manner; establishes and oversees preventive maintenance programs for parish property and equipment.
• Supervises the activities of all parish maintenance, maintenance and custodial employees, and inspects completed maintenance and repair projects.
• Manages and approves major repairs or new construction with counsel from the Pastor, Finance Council, and Pastoral Council, when applicable; supervises new construction on the parish grounds and acts as a liaison between the architect, contractor, and building committee.
• Maintains parish's compliance with diocesan policies regarding licenses, insurance, other liability considerations, real estate, and capital projects.
• Manages parish office information and communication systems (network, computers, programs, phones); provides computer support to staff; and provides consultation, when appropriate, to the school.
• Manages and monitors the parish and school alarm/security systems. Provides training for office personnel.
• Develop and maintain emergency preparedness plans for various scenarios, including natural disasters, medical emergencies, and security threats.
• Receives and answers night-time and weekend emergency calls and communicates with Pastor as necessary.
Time Requirements
The Business Manager must be present at times for early morning or evening meetings as well as on some weekends to support important parish events and activities, including holy days such as Christmas and Holy Week Masses. The Business Manager attends all Finance Council meetings (early morning) as well as all School Advisory Council meetings (evenings).
