Job Description

Parish Business Manager

Job Overview:

The Parish Business Manager is the Chief Financial Officer of the parish and school. They provide administrative support, manage financial records, and create key financial reports to facilitate sound financial decision making. The Parish Business Manager also acts as a human resources manager for parish and school employees. Through collaboration with the Diocesan Business Office, the Parish Business Manager ensures that diocesan policies are implemented and followed. They report to the Pastor.

Hours:
Full-time, Monday-Friday, with typical business hours of 9AM-5PM

Responsibilities and Duties:

Operations
-Manage regular parish operations under the guidance of the Pastor
-Advise and support the Pastor in Parish financial decisions
-Assist Pastor in delegated operational matters, secure bids/quotes, call vendors or representatives
-Ensure compliance with state licensing requirements for qualified charitable organizations (incl. Indiana Charitable Gaming Laws)
-Assist Diocesan auditor in the periodic audit of the Parish financial statements, records, processes, and internal controls
-Prepare annual budget with department heads and Finance Council

Bookkeeping
-Oversee the counting, depositing, and recording of all collections into computerized accounting system including but not limited to:
online giving, bequests, and special donations
-Balance, reconcile, and maintain checking and general ledger accounts
-Prepare reconciliations for credit card expenditures
-Post monthly adjusting journal entries
-Process monthly and year end closing of accounting periods
-Prepare monthly and year end reports for parish, school, and diocese
-Receive, review, and enter all invoices into accounting system
-Prepare weekly bills and obtain Pastor's signature on checks
-Maintain fixed asset file and depreciation schedule
-Responsible for annual tax filings which may be required

Finance Council
-Prepares agenda with reporting package, attends meeting, takes minutes

Human Resources
-Maintain employee personnel records, following all diocesan directives
-Process payroll worksheets according to Diocesan protocol
-Monitor purchasing and operating budgets of all department heads
-Assist Pastor in overseeing duties of parish employees and volunteers

Cemetery
-Coordinate cemetery activities with funeral homes and cemetery sexton
-Maintain online records of burials and locations using Chronicle
-Collaborate with funeral home directors to assist families in finding burial plots
-Attend Cemetery Board meetings

School
-Collaborate with Principal and school bookkeeper on fiscal topics
-Responsible for all other duties as assigned by the Pastor

Qualifications:
-Bachelor's degree in business, accounting, or finance is preferred
-Associate degrees in these fields will be considered
-Critical thinking and excellent communication skills
-Basic accounting knowledge
-Able to create informative analytical reports for management decisions
-Proficiency in computer skills, especially Microsoft Office
-Ability to learn new software programs and adapt to frequent updates
-Familiarity with word processing, database creation, budgeting, spreadsheets, and general office procedure
-Positive Christ-like attitude, able to motivate others, a team-player
-Organized, able to multi-task, flexible, takes initiative
-Respects the authority of the Pastor
-Maintains confidentiality
-Able to speak comfortably in public and large group meetings
-Willing to support and foster the Catholic identity of the Parish while modeling Catholic and Gospel values as a basis for actions

Physical Demands:
-Perform repetitive motions of the hands/wrists
-Climb stairs
-Lift items up to 30 pounds
-Sit for long periods of time
-Ability to effectively talk and hear both in-person and on the phone
