Job Description

The Vocations Office of the Diocese of Tulsa and Eastern Oklahoma is seeking suitable candidates for full-time position of Vocations Office Coordinator. This position reports directly to the Vocations Director.

Key Tasks:
• Provides support and assistance to the Director to ensure the effective use of time and productive interactions with seminarians and the public
• Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the Director for consideration
• Possesses strong interpersonal skills in interacting and collaborating with others in promoting vocations
• Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the Director, and occasionally, the Bishop
• Creates or directs the creation of reports, charts, certificates, and other presentation materials for the Director
• Coordinates projects, travel arrangements (incoming and outgoing), meetings, and other group activities
• Assists the Director (sometimes outside of regular Office Hours) with activities and events in promoting vocations to the priesthood and religious life, especially for women
• Responsible for all seminarian files, records, and updates as required (predominantly and normally confidential)
• Acts as the liaison between the Vocations Office (and seminarians) and seminaries and seminary personnel and parishes throughout the Diocese
• Review and adhere to the Diocesan Personnel Handbook and all other Chancery policies
• Execute all other duties in a timely manner as assigned

Key Skills:
• Excellent communications skills
• Greater flexibility, approachability, and availability are a must
• Superb organization skills; able to plan and execute complex events and meetings
• An independent self-starter who is able to work well with colleagues and volunteers
• Proficient in PC or Mac; including Word, Excel, and Outlook
• Fluency in Spanish is preferred
