Project Coordinator for the Office of Evangelization and Catechesis
Diocese of Madison

Classification: Non-Exempt (Hourly)
Reports to: Director of Evangelization and Catechesis

JOB DESCRIPTION
Summary/Objective:
The position of the Project Coordinator in the Office of Evangelization and Catechesis (OEC) is to serve as a support team member to the whole team of the OEC including, the Office of the Bishop, Catechetical/Evangelization staff, Marriage & Family staff and the Youth Apostolate.

Essential Job Functions:

1. Coordinate logistics for a wide variety of OEC events, including but not limited to:
• Seat of Wisdom classes
• Metanoia Retreat Days
• Pentecost Celebration
• RCIA Trainings and Liturgies
• Adult Confirmation Celebration
• Catechetical Convocation
• Regional Gatherings
• Getting Started
• St. Therese Lectures
• Totus Tuus
• Others as requested by OEC or Bishop's Office
Logistical coordination includes, but is not limited to, scheduling, preparing materials, communications, set up of physical spaces, food service, cleanup, payments and invoices, follow up, etc.

2. Participate in Evangelization & Go Make Disciples Initiative
• Serve as a parish mentor for Go Make Disciples assigned Parishes
• Other projects as assigned by Bishop

3. Administrative Tasks
Assist the OEC team members with administrative tasks, including but not limited to:
• Deposits, invoices/billing, check requests
• Answering general emails/calls
• Printing
• Record-keeping
• Website maintenance

Secondary Job Functions:
As time allows, provide logistical support for other Offices and Ministries, including:
• Hispanic Ministry
• Marriage and Family Ministries (including Natural Family Planning)
• Bishop's Office
• Other Chancery offices (with approval of OEC Director)
Support may include, but is not limited to, materials, set up, communication, food service, clean up, payments and invoices, etc.

Required Competencies:
The Project Coordinator should have the following competencies:
• Ability to express oneself clearly and effectively in oral and written communications.
• Excellent interpersonal skill, ability to work with wide array of people and to resolve conflict and build consensus.
• Familiarity with social media and ability to communicate efficiently through multiple channels.
• Familiarity with MS Office package, proficiency with Word, Excel, and Teams.
• Must be physically able to lift up to 35 pounds (moving tables/chairs for meeting set up) and be available to work evenings and weekends as needed.
• Trustworthy and able to work with confidential information.
• Quick learner, ability to see big picture and how tasks relate to one another.

Required Education & Experience:
Effective OEC ministry depends at least as much upon example and witness as upon words and information. Thus, it is imperative that the Project Coordinator professionally and joyfully seek to know, love, and serve Jesus Christ through active participation in the life of the Catholic Church.
• The coordinator shall publicly profess and strive to follow Catholic teachings as proclaimed by the Magisterium of the Church.
• Possess excellent organizational skills, with the ability to envision, implement, and maintain complex projects spanning significant numbers of participants and long periods of time.
• Possess outstanding interpersonal and leadership skills, collaborating effectively and joyfully with people from diverse backgrounds, bringing them together in a shared vision and common goals.
• Possess a valid WI driver's license.

Work Environment & Physical Requirements:
The office for this position is at Holy Name Heights. The position must be able to perform within the context of this multi-use building. On occasion, meetings associated with the position will require shopping for various food needs, food preparation, and meeting space setup. Must be able to lift heavy objects up to 35lbs.

Work Relationships:
• Parish contacts, especially clergy, and parish catechetical leaders, and other staff with responsibilities for event coordination.
• All diocesan offices for the Diocese of Madison, in particular the Office of Evangelization and Catechesis, Vicar General, Tribunal, Communications, the Bishop's Office, the Catholic Herald, and Office of Worship.

Normal Work Days & Hours:
• Ordinarily Monday - Friday: 8:00 a.m. - 4:30 p.m., flexibility to compensate for evening and weekend projects.

Travel Requirements:
Travel to parishes and other locations within the Diocese of Madison is required periodically.
