TITLE: Vice President of Finance
DEPARTMENT: Business Office

RESPONSIBLE TO: President

GENERAL DESCRIPTION: The Vice President of Finance is responsible for all accounting, budgeting, financial reporting, financial services, A/P, student billing, and cash management, as well as supervising payroll and human resources.

SUPERVISORY RESPONSIBILITIES:
1. Responsible for the hiring, training, and management of the Business Office personnel.
2. Direct supervision of Business Office Manager, Controller, Student Billing Officer, and Financial Aid Officer.
CHIEF DUTIES AND RESPONSIBILITIES:
1. Oversee and collaborate with department staff and third-party vendors in the:
• Maintenance of all accounting records, including the general ledger and all subsidiary ledgers according to US GAAP
• Preparation of the budget for all departments as relates to salaries, casual labor, benefits, and taxes.
• Preparation of all internal and external financial reports as needed for Board, school departments, state and other agencies as needed.
• Coordination and preparation for the annual financial statement audit by an independent CPA (Certified Public Accountant) firm.
• Administration of the College's Charitable Gift Annuity program.
• Operation, maintenance, and updating the accounting, financial aid, payroll/HR, and student billing/loan systems utilized by the College
• Supervision and training of all accounting/finance, business office, purchasing, financial aid, student billing, and payroll/HR personnel.
• Onboarding of new employees, management of open enrollment period for all benefits offered by the College, and preparation of Form 5500 & audit by independent CPA firm for 403(b) retirement plan
• Preparation of payroll, payroll taxes, and payroll reports in accordance with all applicable state and federal laws.
• The accurate preparation and submission of all payroll/tax forms as required by federal law (Forms W-2, 1042-S, 1098-T, 1098-E, and others as applicable).
• Administration and supervision of the Student Employment Website by all departments.
2. In conjunction with department staff, manage and control cash flow to ensure adequate cash is on hand to meet payroll, payables, debt repayment, capital needs, and other current liabilities.
3. Review and report to executive management and the Board period budget versus actual reports; prepare quarterly reports to the Budget & Audit Committee of the Board on the financial condition of the College.
4. Prepare long range financial and budget projections for the College under the direction of and in accordance with the strategic planning overseen by the President and Chief of Staff.
5. Develop annual goals for the Finance Unit (including Business Office, Financial Aid, and Payroll/HR) for approval by the President.
6. Prepare Form 990 of the College for review by the Board and submission to the IRS.
7. Annually update the Colleges financial aid award methodology; review other financial aid programs for reasonableness and administer them.
8. Monitors financial activity and efficiency of the Colleges Accounting, Account Receivables Purchasing, Accounts Payables, Cash Management, Misc. Cash Receipts, Student Billing, Financial Aid awards, and Payroll and Benefits activity.
9. Manage the Colleges growing endowment, including accounting, earnings distribution, endowed scholarship awards, and assisting with spend rate/investment policy development, interfacing with Board Investment Committee and related investment managers as needed.
10. Responsible for relationships with financial institutions and banks, and when appropriate, seeks favorable financing, loan rates and/or lines of credit for the College.
11. Manage and ensure the financial integrity of taxable entities associated with the College.
12. Negotiate with vendors and/or bidding primary services for the college, such as medical, retirement, and other benefits, and general comprehensive and liability insurance.
13. With department staff's help, manage the commercial insurance renewal process, insurance claims (vehicle and other), the annual Workers Compensation audit, and assist with updating risk management policies as needed.
14. Assist with property purchase negotiations, as requested, for review/approval by the President and/or Chief of Staff.
15. Supervise the accounting and finance policies and procedures of the graduate school, including all financial reporting.
16. With the assistance of department staff, review and update the Staff Handbook, Purchasing, and other financial policies for review/approval by the President and/or Chief of Staff.
17. In cooperation with the other senior leaders of the college, contribute substantially and creatively to the development and implementation of the strategic vision and long-term sustainability of the college.

QUALIFICATIONS AND SKILLS NECESSARY:
1. A deep desire to support the mission of Christendom College.
2. Must have either:
A master's level degree in finance or accounting, or CPA, and 10 or more years of accounting/finance, management, and financial reporting experience; OR
A master's level degree in business administration, or equivalent degree, and 10 or more years of related strategic, finance, and business management experience sufficient to demonstrate a high degree of facility with accounting/finance and financial reporting requirements.
3. Knowledge of student financial services systems is a plus.
4. Experience in nonprofit business a plus.
5. Must be proactive and self-directed.
6. Ability to manage multiple tasks with frequent interruptions.
7. Ability to complete assignments under tight deadlines.
8. Strong interpersonal, verbal, and written communications skills.
9. Ability to interact effectively with employees at all levels.
10. Strong Excel, Word, and Outlook skills (Power Point also a plus).
11. Ability to handle confidential and sensitive information with a high degree of professionalism and complete discretion.
12. Ability to maintain a positive, upbeat demeanor under stressful conditions.
