Job Description
PURPOSE OF POSITION:The Business Manager reports to the President of St. Thomas Aquinas High School (STAHS) and is responsible for carrying out the polices set forth by the Board of Limited Jurisdiction. This role supports the educational mission of STAHS and values of the Catholic faith.
The Business Manager directs financial operations, which includes accounting, reporting, analysis and controls, financial aid, and contract administration. Additionally, the Business Manager oversees development operations. The Business Manager reports the results of school financial operations to the President, Principal as well as to the Board's finance and institutional advancement committees.
MAJOR DUTIES AND RESPONSIBILITIES:
General
- Operates according to good and accepted financial practices and in compliance with state and Diocesan financial policies.
- Oversees financial and development operations, including personnel management, data management, software and related upgrades, office equipment and other tools required by these departments.
- Identifies inefficiencies related to the operations of the school, makes recommendations for improvement to the President, and ensures implementation of approved corrective actions.
- Oversees school compliance with policies and guidelines as set forth by the Board.
Financial Operations
- Establishes, coordinates and administers, as an integral part of management, a plan for operations including, developing operating budgets, capital investment planning, and tuition and enrollment forecasts, among others, together with necessary controls and procedures to effectuate the plans.
- Ensures accurate recording of financial transactions.
Prepares operating data, monthly financial reports and special reports as required, including interim and year-end financial statements.
- Routinely compares performance with operating budgets, and reports and interprets variances and results to all levels of management.
- Establishes long-term financial plans, as well as objectives to meet the goals set forth in such plans.
- Assures protection for the assets of the school through internal controls and policies, internal auditing, and assuring proper insurance coverage.
- Designs and implements techniques to negotiate, track and accelerate the collection of tuition in accordance with policy.
- Works with Diocese to develop and implement banking and financing strategies.
- Oversees cash management, including fund transfers, cash positioning, and reporting.
- Oversees external audit preparation, gathering of supporting documentation, and responding to auditor inquiries and findings.
- Supervises or coordinates the preparation of reports to government agencies, as required.
- Coordinates the issuance and tracking of all scholarship and financial aid packages to prospective students.
- Tracks the completion of parent service hours and routinely reports actual performance against hours committed.
- Negotiates major vendor contracts for STA and ensures that agreements are in accordance with school and Diocesan policies.
- Prepares and administers all faculty and staff employment contracts.
- Maintains the master schedule of all school facility usage and serves as the Integrated Pest Management (IPM) coordinator for school fields in accordance with NJ School IPM Law.
Development Operations
- Organizes and executes fundraisers and special events at the direction of the President.
- Oversees the management of the STA database containing donor and prospect records including processing income, updating donor records, acknowledging contributors, monitoring donor information accuracy, producing reports and lists for fundraising campaigns, producing queries and export data for use by mail houses and development staff, and routinely providing financial reports.
- Works in collaboration with the Vice President of Alumni Relations in maintaining and updating the database of alumni, parents, alumni parents, and students.
- Coordinates research on federal, state and local grants in addition to funds available from private, family and corporate foundations.
REQUIREMENTS:
- Bachelor degree in finance, accounting or equivalent experience.
- 10+ years of experience preferred in business, finance, accounting or related function.
- Excellent interpersonal, communication (verbal and written), and negotiation skills.
- Ability to effectively present complex data to varied audiences.
