Job Description

General Responsibilities:

The Director of Operations is responsible for planning, organizing, administering, and leading the temporal operations of the parish of St. Elizabeth Ann Seton Cathedral to achieve the vision and goals as determined by the Archdiocese, the pastor and parish lay leaders. Temporal operations include the fiscal, facilities maintenance, information technology, administrative and human resource functions. The Director also supervises related staff. The Director is the principle staff liaison to the Finance and Facilities Committees, as well as the coordinator of Corporator meetings. The Director participates in and provides reports to these groups, as well as to the Pastoral Council and other parish groups as directed by the Pastor. The Director collaborates with other staff members and committees, parishioners, and Archdiocesan counterparts as required.

Essential Functions:

Fiscal

• Prepare annual budgets
• Manage accounting, bookkeeping, and purchasing activities
• Closely monitor income and expense vs. budget
• Authorize and approve purchases
• Maintain financial records
• Prepare monthly and annual financial reports
• Monitor investment accounts and coordinate with investment managers
• Comply with Archdiocesan and parish fiscal policies and procedures, as well as
applicable canonical temporal goods statutes
• Ensure asset security and financial transparency
• Prepare agendas, schedules, and attend financial-related meetings

Facilities Maintenance

• Develop and maintain a facilities master plan
• Prioritize and schedule maintenance activities
• Ensure all structures, equipment and systems are properly maintained and operating
• Implement risk management and safety programs
• Manage construction, renovation, and repair projects
• Manage a grounds maintenance program
• Hire contractors and other facilities-related vendors
• Comply with Archdiocesan and parish maintenance policies and procedures
• Negotiate and maintain leases
• Coordinates decoration of church/worship space for sacramental celebrations

Information Technology

• Manage internal and external IT networks, hardware, software, connectivity, use, and security
• Hire outside vendors as needed
• Develop and implement parish IT policies and procedures
• Comply with Archdiocesan IT policies and procedures
• Oversees proper function of AV & Livestream systems

Human Resources

• Develop a staffing model
• Write position descriptions and requirements
• Assign staff functions and determine work schedules
• Develop and implement employee policies and procedures
• Determine compensation in accordance with Archdiocesan guidelines
• Set performance standards and evaluate employees
• Maintain employee records
• Develop training programs
• Manage pay and benefit programs
• Comply with Archdiocesan Human Resource policies and procedures
• Advise the Pastor on HR issues

Administration

• Manage administrative assistant functions and support
• Manage use of supplies and postage
• Implement forms and record keeping procedures
• Review the bulletin and other printed materials
• Negotiate print, copy and related media contracts
• Implement communication and marketing policies
• Coordinate media event coverage
• Comply with canonical and Archdiocesan administrative and communication policies and procedures
• Prepares Annual Consolidated Report (ACR)

Related Staff Responsibilities:

• Attend staff meetings, retreats and other planning meetings
• Attend the annual master scheduling meeting
• Attend Archdiocesan management workshops
• Perform other duties as directed by the Pastor

Relationships:

• Reports directly to the Pastor
• Supervise the Accountant/Bookkeeper, Maintenance Technician & Administrative Staff
• Staff point-of-contact for the Finance, Facilities and Maintenance Committees
• Attends and is a resource to the Corporators, Pastoral Council, and other board and committee meetings as directed by the Pastor
• Maintains a collaborative relationship with Archdiocesan Finance, Development, Technology, Human Resource, Facilities, and Management Services counterparts
• Collaborates with related national, regional, and local groups
• Participates in Archdiocesan committees and working groups as required
