POSITION TITLE: DIRECTOR OF DEVELOPMENT OPERATIONS

DEPARTMENT: DEVELOPMENT

FLSA STATUS: EXEMPT

REPORTS TO: VICE PRESIDENT, INSTITUTIONAL ADVANCEMENT

ORGANIZATIONAL SUMMARY:

St. Joseph's Preparatory School is a Catholic, Jesuit, independent four-year college preparatory school located on the northern edge of center city Philadelphia. Founded in 1851, this highly selective, all-male school serves over 900 young men in their pursuit of becoming "men for and with others." POSITION SUMMARY:

The Director of Development Operations is a leadership position within the Advancement/Development Team and will play a key role in the planning and execution of the Prep's upcoming $125M Campaign. The Director is responsible for the overall operations of the Development Dept. including data management, reporting and the Prep Fund. The Director serves as the supervisor of all job responsibilities for the Database and Development Services Specialist and the Asst. Director of the Prep Fund.

KEY RESPONSIBILITIES:

Development Operations
Supervises the Database and Development Services Specialist. Responsible for all aspects of supervision including goal setting, training, and professional development.
Works with the Vice President to develop and administer the annual operating and campaign budgets.
Produces monthly revenue reports on year-to-date fundraising, campaign activity, proposals, and cash flow.
Participates in quarterly Advancement Committee meetings.
Responsible for the oversight of development database (RE/NXT) management including gift processing, automated acknowledgements, production of lists and reports and accurate entry of data for donor and prospect records.
Oversees all records, transactions and documentation related to contributions.
Responsible for setting policies and procedures for data and gift and pledge entry based on industry best practices.
Responsible for drafting Gift Agreement templates and responsible for reviewing agreements prior to Donor signatures. Ensures the executed Gift Agreement is posted to the database in accordance with the signed agreement and established gift installments.
Creates new gift funds when necessary in collaboration with the Finance Office.
Provide oversight and delivery of data required for fundraising activities including annual and capital campaign solicitations, cultivation and special events.
Produces donor lists for the annual President's Report and strategizes with the Director of Communications and VP of Advancement on themes of the Report, appropriate donor stories, etc.
Responsible for the integration (using a 3rd party tool) of new students, parents, transfer students and employees from the CORE into RE/NXT.
Responsible for database and systems management with a high level of knowledge and expertise with Raiser's Edge(RE/NXT) and other technologies and how they can best support the Prep's fundraising and data management initiatives.
Responsible for the identification of new software, technologies and products that support these initiatives.
In partnership with the IT department, reviews and interprets technical specifications relevant to software, systems, and technical resources used by the Development Department. Ensures proper security measures are in place to protect donor information. Participates in meetings and serves on internal committees related to Blackbaud products, initiatives and updates related to Prep strategic goals.
Manages relationships and coordinates operations with external Prep vendors.
Serves as liaison with Finance Department to ensure accuracy of gift/donation records and deposits.
Works with Director of Donor Relations to track and file multi-year pledge documentation and has a knowledge of and ensures adherence to systems/controls and established IRS and auditor standards.
Works with Director of Donor Relations to execute gift acknowledgement procedures.
Attend all Major Gift Meetings.
Represent the Development Department at donor engagement and stewardship events.

Prep Fund
In partnership with the Assistant Director of the Prep Fund, develop and implement strategy for annual solicitation cycle through direct mail, email, social media, and other avenues to achieve goals. Includes oversight for segmentation of donor base and preparation of lists for marketing of the Prep fund both internal esolicitations and external mail house vendors.
In partnership with the Assistant Director of the Prep Fund, works with Marketing and Communications Department to create and develop themes and strategies around effective online donation pages, comprehensive donor support, and effective online and offline communications to reach Prep Fund strategic goals.
Alongside the Assistant Director of the Prep Fund, works with Marketing and Communications team to create a calendar, collateral material, social media marketing and effective online donation pages and comprehensive support for Prep Fund.
Campaign
Provide oversight for the operations of the Campaign including:
Establish Database structures to accommodate campaign priorities including but not limited to proposal tracking, gift and pledge tracking according to initiative, tracking of stewardship and naming opportunities
Coordinate and execute Wealth Screening projects
Works with Prospect Research Analyst on the identification, research and assignment of new prospects and management of prospect pools.
Work with VP to prepare Campaign Timeline and milestone documents.
In partnership with VP, work with Prep leadership to identify opportunities within the campaign priorities.
Development of reporting to track Campaign progress including dashboards, monthly progress and activity reports, Committee reports, pledge reminders and support for stewardship reports and prospect reports, etc.
In partnership with the VP of Advancement, work directly with the Campaign Committee to create agendas, assign prospects, provide briefings and identify appropriate partnerships for solicitations.
Develop Donor documentation templates including Gift Agreements, letters of intent, and proposals when necessary
Works with Director of Donor Relations to develop a campaign donor recognition program.
Works with Director of Donor Relations to organize special events related to the campaign.
Attend Campaign related meetings and events as needed.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
Bachelor's degree in related field desired
Experience working in a leadership position, particularly in the area of data and reporting, on a capital campaign
Detail oriented, highly organized team player with strong focus on accuracy
Demonstrated technology skills with a preference for direct experience with Raiser's Edge or other fundraising software
Fluent in Microsoft Word and Excel
Five plus years' experience in a fundraising, sales, or school environment
Strong interpersonal written and oral communication skills
Ability to manage multiple projects simultaneously, high level of organization and willingness to take initiative
Positive, winning attitude. Energetic, driven, and goal oriented.
Highly ethical and able to maintain confidential information and a good sense of diplomacy.
Willing to approach role and tasks with a commitment to the mission and values of the School and the teachings of the Catholic Church
