Job Description

As an Administrative Assistant, you will be an integral part of our team, playing a pivotal role in processing immigration cases. Supporting our immigration work and assisting the Clergy Personnel team. You will thrive in our collaborative and supportive environment characterized by trust and collegiality.

This is a full-time position. Your primary responsibilities will include providing administrative and clerical support to the Special Assistant to Ministerial Personnel, gathering documentation for immigration cases, requesting checks for legal and government fees, filing electronic copies of approved cases, and updating priests' online records. Additionally, you will assist the Ministerial Personnel team with various administrative tasks two days a week or as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Establish a basic working knowledge of immigration with the team's help.
Recurring communication and timely interaction (email and phone calls) with priests and immigration law firms.
Communicate with and educate priests and parish staff about immigration cases and processing times.
Manage and track immigration cases while organizing virtual files in OneDrive and Asana.
Prepare and ship cases provided by law firms (print sponsor letters on letterhead, obtain signatures from authorized officials, and ship packages to USCIS offices).
Create letters of continued employment for foreign national priests traveling or attending appointments at American consulates.
Process accounts payable items.
Provide administrative support for the Clergy Personnel Core Group.
Coordinate meetings - external and within the secretariat.
Coordinate events and communications for the secretariat.
Order supplies as necessary.
Open and process daily mail.
Other duties as may be assigned.
Work 40 hours a week, Monday-Friday, in the office.

QUALIFICATIONS:

BS/BA degree required and/or a minimum of 5 years previous business office experience.
Enthusiasm to support the mission of the Catholic Church.
Strong computer knowledge, including proficiency in Microsoft Suite and other online applications.
Excellent oral and written English communication skills.
Spanish/Portuguese speaker preferred but not essential
Solid organization skills, attention to detail, and the ability to multi-task and effectively work in a changing environment.
Professionalism and outstanding customer service skills.
Able to interact with people in challenging situations in person and over the telephone.
Capable of handling confidential and sensitive information with good judgment and respect.

PHYSICAL PERFORMANCE ELEMENTS:
Ability to use a computer keyboard for up to 8 hours/day.
Ability to sit for up to 8 hours/day.
Ability to lift up to 20 pounds.
Ability to physically file paperwork for up to 8 hours/day.
