Job Description

Position Overview

The Executive Director (ED) serves the Society of St. Vincent de Paul (SVdP) Denver Metro Council, providing strategic, financial, and operational leadership in collaboration with the Council President and Board of Directors.

This position involves oversight of financial operations, administrative support, program management, and fundraising initiatives to support the mission and activities of SVdP across the Denver Metro area.

Key Responsibilities

Finance & Banking
• Reconcile all bank accounts monthly; pay invoices using QuickBooks.
• Prepare monthly financial reports (P&L, Balance Sheet, Budget vs. Actual) for board meetings.
• Track and report income from donors and events.
• Maintain and update the Executive Director's monthly report.
• Set up Zoom links and distribute all relevant meeting documents.
• Collaborate with accounting firm (Taylor Roth) for the annual financial review and budgeting process.
• Oversee the collection of conference annual reports and rosters; compile and enter totals into the National database by fiscal year-end (Sept 30).
• Ensure timely and accurate 1099 processing and IRS filing (deadline: Jan 31).

Administration
• Coordinate logistics and content for key annual meetings: Annual Business Meeting (typically October), Presidents Round Table (typically May)
• Create handouts and materials on business issues affecting conferences.
• Oversee all office equipment: laptops, printers, phones, fax machines, etc.
• Manage office supplies (checks, paper, envelopes, ink, etc.).
• Administer insurance policies (liability, workers' comp) and complete audits as needed.
• Supervise and support two part-time staff members.
• Run monthly payroll via COPAC; enter journal entries into QuickBooks; calculate and file 1099s.
• Coordinate with On-Fire Media to keep website content updated.

Program Management
• Oversee internal SVdP programs: ARC Cards, Vehicle Repair Program, Ozanam Housing Fund
• Manage external partnerships and programs: Energy Outreach Colorado, Daniels Foundation

Fundraising & Communications
• Coordinate with the Archdiocese of Denver to promote programs such as the CARS vehicle donation and special events in Denver Catholic.
• Organize the annual Friends of the Poor Walk, the organization's largest fundraising event; manage fund distribution to conferences.
• Research and write grant proposals; oversee fund allocation and submit final grant reports.
• Collaborate with the Council President to produce biannual newsletters (spring and fall).

Preferred Qualifications
• Strong proficiency with QuickBooks and Microsoft Office Suite
• Experience in nonprofit financial management and grant writing
• Excellent communication and organizational skills
• Commitment to the mission of the Society of St. Vincent de Paul

Work Schedule & Requirements
• This is a part-time position, averaging approximately four days per week. We are unable to provide benefits such as health insurance.
• Requires at least partial onsite presence in the Council office.
• Occasional evening and weekend hours are required to support monthly Board Meetings, Annual Business Meeting (typically October), Presidents Round Table (typically May), and other events and fundraising activities as needed
