Job Title: Assistant/Secretary - Helping Hands Medical MissionsLocation: Irving, TX

About Us:
Helping Hands Medical Missions is a Catholic organization dedicated to providing medical care in underserved and impoverished communities worldwide. Through the generous service of volunteers and healthcare professionals, we bring compassionate care to those in need while also sharing the love of Christ. We are currently looking for an Assistant/Secretary to join our team and support the Missions Director in organizing and facilitating our global medical missions.
Position Summary:
The Assistant/Secretary will play a critical role in supporting the Missions Director in the planning, coordination, and execution of Catholic medical missions to underserved areas, including but not limited to Mexico, Guatemala, El Salvador, the Philippines, and Ghana. This position requires a practicing Catholic with strong organizational skills, a deep commitment to the Magisterium of the Catholic Church, and a passion for service to others. The Assistant/Secretary will assist in various administrative and logistical tasks to ensure the success of each mission and the smooth operation of Helping Hands Medical Missions.
Key Responsibilities:
• Assist the Missions Director in the planning and coordination of medical missions, including travel, logistics, team schedules, and medical supply organization.
• Communicate with mission volunteers, healthcare professionals, and local partners to ensure proper coordination and alignment with mission goals.
• Prepare and maintain mission itineraries, medical supply lists, and volunteer information.
• Assist in the recruitment and onboarding of volunteers for missions, ensuring all necessary documents and training are completed.
• Provide support during missions, including on-the-ground coordination and troubleshooting, as needed.
• Maintain detailed records of past missions and assist in the preparation of reports for donors and partners.
• Manage office communications and respond to inquiries related to the missions.
• Stay aligned with the mission and values of Helping Hands, adhering to Catholic principles and remaining faithful to the Magisterium of the Catholic Church.
Qualifications:
• A practicing Catholic who is faithful to the teachings and Magisterium of the Catholic Church.
• Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
• Excellent verbal and written communication skills.
• Ability to work both independently and as part of a team.
• Compassionate, service-oriented attitude with a desire to make a positive impact in the lives of others.
• Skills in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
• Bilingual in English and Spanish preferred.
• Experience in administrative or secretarial roles preferred but not required.
• Experience or interest in international missions or non-profit work is a plus.
Additional Information:
• On-the-job training will be provided as the current Assistant/Secretary is retiring, ensuring a smooth transition into the role.
• Occasional travel may be required for mission trips, though this will depend on the mission schedule and specific responsibilities.
