Job Description
Assistant Director - for the Mother Boniface Spirituality CenterMissionary Servants of the Most Blessed Trinity, North East - Philadelphia, PA
Program and Retreat Development
• Develop and implement a retreat and workshop portfolio that reflects the charism of the MSBTs, responds to the needs of the Catholic community, and deepens the spiritual and faith life of participants. Programs already in the portfolio are:
o the Come and Rest Awhile Retreat
o Noticing God's Providence in Everyday Life Retreat
o Retreat for Mothers, and
o annual Advent and Lenten Retreats.
• Cultivate relationships with potential presenters, speakers, and facilitators and invite them to lead and facilitate retreat and workshop experiences.
• Research stipend structures to pay facilitators, presenters, speakers, musicians, etc. that support retreats in the portfolio
• Manage the registration process for MBSC programs and offerings. Develop registration lists for each program that includes contact information and payment status. Communicate to participants any updates to support their readiness to participate in programs and retreats.
• Assist in the creating marketing materials and social media posts for programs and retreats. Materials will align with the branding requirements.
• Ensure that retreat rooms are set up to meet the required needs for event activities and presentation. This includes arranging for audiovisual needs and table and chair arrangements.
• Respond to all private retreat inquiries and ensure that the reasons for retreat aligns with the requirements for private retreat participation.
• Collaborate with spiritual directors in providing spiritual direction to private retreatants.
Hosted Group Coordination and Support
• Process event inquiries from intake to implementation.
• Develop and maintain positive relationships with all retreat coordinators from groups and organizations.
• In collaboration with the MBSC Director, coordinate logistical support for events by effectively collaborating with operational departments.
• Process event agreements and ensure their accuracy. Send to host coordinators in a timely fashion. In collaboration with the MBSC Director, assess fee structure for groups.
• Welcome and host groups during the event and provide onsite event support during weekends and at times overnight stays.
Open Houses and Tours
• Develop open houses for specific groups and invite them to consider retreating at the center, for example, nurses, teachers, nonprofit leaders, etc.
• Provide facility tours explaining the history and the charism.
Web Site Update and Social Media
• In collaboration with the Vocation Council Coordinator, create content for social media posts on the Spirituality Center's accounts, reflecting the MSBT charism and sharing current happenings and events at MBSC.
• In collaboration with the Vocation Council Coordinator, update the MBSC webpage to list all retreats and events at the Spirituality Center.
Arts and Environment
• In collaboration with the MBSC staff team, develop and arts and environment plan so that the Center's arts and internal and external environments reflect the liturgical seasons, feast days, founder anniversaries, etc.
• Ensure images in retreat spaces reflect and connect with the diverse populations that retreat at the center.
• In collaboration with the MBSC Team and Vocation Council Coordinator, assess the art pieces and images displayed throughout the center for its alignment with the MSBT charism and with visitors of the center.
• Develop a plan to align images and art pieces at MBSC with the MSBT charism.
• Research photos and art pieces in the archives for display in the spirituality center.
• Research new items for purchase that will reflect the vision and mission of the MBSC, and will resonate with and inspire visitors, guests, and retreatants. Share rationale and proposed costs with Executive Director of MBSC.
• Write descriptions for images that expand information and invite visitors into the history and impact of the MSBT community.
Program Equipment and Supplies
• Oversee the program equipment and supplies and ensure its readiness for all retreats and programs. This includes, computers, televisions, audio systems, etc.
• Ensure that there are working supplies for all programs and retreats.
MBSC Team Support
• Actively participate in weekly MBSC team meetings.
• Support all MBSC operational teams when needing extra hands and assistance.
• Adhere to all policies and procedures of the department and MSBT.
