Job Description

Purpose of Position: Reporting directly to the Pastor, the Business Administrator oversees the administrative functions of the Parish, including the financial stewardship, human resources, facilities, development, and daily operations.

Financial

Bookkeeping tasks: enter parishioner contributions and donations, cash receipts for all forms of income, accounts payable/accounts receivable, year-end tax statements
Manage online giving platforms and website areas pertaining to donations
Point of contact for endowment donations and endowment management company
Enter and process bi-weekly payroll
Develop and manage the Parish's annual budget for approval by the Pastor, ensure alignment with strategic goals, and appropriately allocate resources to meet both short- term and long-term goals
Work with Parish's outside accountant to prepare and communicate financial statements.
Serve as a primary point of contact for all inquiries regarding regular offertory giving as well as philanthropic gifts to the Parish
Attend Finance Council Meetings, Stewardship Committee Meetings and Campus Planning Group Meetings, APBA Meetings and other meetings as needed.
Maintain accurate financial records in compliance with Archdiocesan policies and procedures
Manage cash flow, line of credit, credit card, and banking relationships
Ensure that Holy Cross Parish financial policies and procedures comply with the Archdiocesan Internal Control Guidelines
Agreed Upon Procedures Review: Follow through on implementation of all recommendations made by outside agency. Arrange for future reviews

Development

Partner with the Pastor and Stewardship Committee to plan, execute, and track the success of the upcoming capital campaign, and other parish giving campaigns.
Drafts correspondence as needed, such as emails/letters/stewardship documents, etc.
Assists in the preparation of donor briefings, including researching donor history, preferences, and philanthropic interests.
Track and manage follow-up tasks related to donor interactions to ensure timely and thoughtful engagement.
Generates reports and dashboards to support fundraising efforts and monitor progress toward goals.

Administration & Operations

Serve as HR contact for all parish employees, lead annual enrollment and ensure compliance with Archdiocesan policies and procedures
Oversee the recruiting, hiring, onboarding and offboarding process and annual performance review for Parish employees
Provide administrative support to annual fundraisers such as SeptemberFest
Safe Environment Coordinator. Initiate volunteer & employee training and compliance
Manage external contractors and vendors including IT
Respond to and communicate with community leaders, City, State and Federal government representatives for all inquiries
Supervise and support office staff, accounting personnel, and maintenance teams
Plan and direct building and ground improvements that ensure that the facility's appearance positively reflects and enhances the parish in the community. Plan and schedule work with minimal interruption to parish activities and communicate any transportation and related interruptions to employees and community. Secures necessary permits for such work
Oversee all security measures and systems, including alarms and security contractors. Work with Pastor and staff to ensure existing security policies and procedures are operative to provide adequate security of buildings and people working in and accessing building and grounds. Respond to fire and security alarms as needed
Primary contact for all renters, oversee leasing process and maintenance of rental properties
Respond to facility emergencies as needed
Responsible for implementation of and execution of various Risk Management policies and programs, including Worker's Compensation.
Analyze and evaluate operational efficiency, making recommendations for improvement
Respond to any legal or insurances matters
Negotiate and review all contracts
Prepare annual PACE/PRISM application

Other Duties

Fill in for Office Manager or Receptionist as needed.

Compensation

Holy Cross offers a full package including retirement contributions, health care and other benefits. Compensation will range from $75k - $85k annually.

Qualifications

Bachelor's degree in business, accounting or finance is desirable.
2 or more years of work experience in a nonprofit or Catholic parish preferred
Valid driver's license
Must be able to safely lift 50 pounds
Possess excellent customer service skills
Proficient with Microsoft Office and willingness to learn new software
Understanding of the Catholic Faith, rituals, calendar, and practices
Successfully complete criminal background check, credit check, and Safe Environment
Supervision, leadership, and good communication skills
Understanding of fiscal planning/management, accounting, and payroll functions.
Physical Requirements/Work Environment

• To perform duties of the job, the employee may on a regular basis be required to stand, sit, talk, hear/listen, reach, stoop, kneel and use hands and fingers to operate a computer, keyboard and other office equipment. Close vision requirements apply due to the nature of computer work.
