Introduction to the Schoenstatt Retreat Center
The Schoenstatt Movement was founded in Germany in 1914 by Fr. Joseph Kentenich. Schoenstatt means "beautiful place." Schoenstatt's mission is to assist in the Marian formation of the world in Christ. This mission is fulfilled in a special way through our Shrines and Retreat Centers. The Schoenstatt Shrine in Waukesha, WI was dedicated in 1964 and bears the mission: International Shrine of the Father Kingdom. Our retreat center was built in 1969, and new additions were added in the 1970s and again in 2014. The primary purpose of our facility is to welcome pilgrims and groups to our Shrine, to offer a home and hospitality, and to facilitate the natural-supernatural experience of the Shrine. The large land, walking trails, and natural beauty of the lake and surrounding farmland are meant to be a refuge for visitors, and a place of encounter with God.
General Summary
The Director oversees all internal functions and facilities maintenance pertaining to the efficient and smooth operation of the Retreat Center. The Director is the representative of the Schoenstatt Sisters to the guests and facilitates clear communication with the Sisters. Responsibilities may include: Staff, Facilities Maintenance, Booking, Sales, Budgets and Profit-and-Loss Reports (P&L), Safety and Security, Food Service, Inventory, Retail Store. The Director reports to the Chief Operations Officer (COO), who is a Superior of the Sisters.
Principle Duties and Responsibilities
1. Responsible for the smooth and efficient execution of day-to-day operation of the facility.
2. Represents the face of the Schoenstatt Sisters to staff and guests in a manner consistent with their honor and good reputation.
3. Understands the Schoenstatt spirituality and mission or is ready to learn and apply it to working practices (self-study is expected).
4. Develops and implements consistent inventory and cost accounting policies, procedures, and operational and reporting metrics.
5. Maintains some specific "office hours" each week, with the other hours to be used as needed in conjunction with events at the facility, and being available as needed/in emergency. Working weekends is important when groups are present.
6. Oversees and reports on the organization's results to the chief financial officer (CFO) and chief operations officer (COO).
7. Prepares accurate and timely analyses that capture and communicate results, variances, and performance trends.
8. Provides leadership to and manages the efforts of site staff to ensure the proper execution of events. Works through staff managers effectively.
9. Supervises the development of operations-based financial modeling.
10. Coordinates and leads monthly, quarterly, and annual budget reviews and provides periodic forecast updates.
11. Retains a diverse, highly qualified staff and volunteers by providing career coaching, growth, and personal development.
12. Ensures that guest service relationships are robust enough to meet or exceed strategic goals and objectives, with guest and resident satisfaction as the primary goal.
13. Mitigates and resolves conflict for guests and staff, with objectivity and kindness, and with reference to the values of the Retreat Center.
14. Maintains good professional working relationship with the local parish pastor and the archdiocese.
15. Other related duties as assigned.
Knowledge, Skills, and Abilities Required
1. Due to the leadership position, we request that the Director be a practicing Catholic in "good standing" with the Church.
2. Minimum of 10 years in leadership in a Catholic or non-profit organization such as a retreat center, assisted living facility, or high school.
3. Education: BBA or equivalent in experience.
4. Practiced knowledge of Human Resources.
5. Fluency in written and spoken English. Proficiency in other languages is a plus, especially Spanish, German, ASL.
6. Digital Communication Skills: Able to type well, communicate professionally via email, use computers to create and fill forms, familiarity with Word, Excel, and other common applications. Openness to new apps that can increase productivity and communication.
7. Moral leadership and good management skills.
