Religious Education Administrative Assistant (Part-Time)

Holy Spirit Catholic Church in Annandale, Virginia, is seeking a dedicated and organized part-time Religious Education Administrative Assistant (15-20 hrs/wk) to support our vibrant faith formation programs for children, youth, and families. This position is ideal for someone who enjoys completing tasks thoroughly, ensuring things are done well and on time, and using sound judgment to solve problems and improve systems. Position Overview
Provide administrative and logistical support for religious education programs, including managing schedules, maintaining records, preparing classroom materials, and coordinating volunteers, in alignment with the Diocese of Arlington's guidelines and the parish's mission. You'll play a key role in supporting our catechists, students, and families as we form young disciples in the Catholic faith.

Key Responsibilities
• Manage administrative tasks, such as maintaining student registration & attendance records, tracking sacramental preparation progress, and organizing program documentation.
• Coordinate classroom logistics, including preparing materials, set up and break down classrooms and shared spaces before and after sessions, and ensuring resources are available for catechists and students.
• Schedule volunteers and communicate updates to ensure smooth operation of religious education classes and events. Assist with scheduling classrooms and special event logistics
• Assist in ensuring compliance with diocesan safe environment protocols, including tracking volunteer training and background checks (e.g., Virtus, background checks).
• Help monitor program areas during class times to ensure a safe, welcoming environment.
• Evaluate logistical needs and resolve issues, such as material shortages or scheduling conflicts, to support program efficiency.
• Support the Director and Assistant Director in implementing faith formation programs, including sacramental preparation (e.g., Confession, First Communion, Confirmation).
• Collaborate with parish staff and volunteers to maintain a welcoming and organized environment for students and families.
• Identify areas for process improvement and suggest practical solutions
• Provide occasional translation support (if bilingual)

Qualifications
• Catholic with a commitment to the teachings and mission of the Catholic Church and the Catholic Diocese of Arlington.
• Strong organizational skills and a proven ability to complete tasks with precision and attention to detail.
• Ability to assess priorities and make sound decisions to address logistical challenges.
• Proficiency in digital tools for scheduling, record-keeping, and communication (e.g., Microsoft Office, Google Suite).
• Excellent communication skills for collaborating with volunteers, staff, and families.
• Compliance with diocesan safe environment training and background check requirements.
• Ability to work flexible hours, including evenings and weekends, to accommodate program schedules. See parish website for specific schedule of RE classes and major sacramental events; classes are typically Sunday & Mondays 4:30-5:45 PM.
• Spanish language skills preferred (but not required).
• Previous experience in administration, education, or ministry a plus.
