Job Description

General Purpose: Ave Maria exists to draw people into a profound relationship with God by equipping them to know, love and serve God within the concrete community of the Parish. (The parish synod is producing a rich development of these basic ideas; you can find the presentations on the parish website.) We are poised for significant growth and change in the coming years. The Business Manager is to ensure that we use our resources to effectively support our mission now and in the future. Using the administration of our resources to keep the people and activities of the parish on mission is a type of ministry, for this reason the Business Manager must be a person of discipleship, prayer and service. Using their professional skills the Business Manager assists the Pastor and Principal in the daily administration of the church and school business functions, including financial management and reporting, accounting, contract administration, office equipment requirements, voice/data systems, plant management, and human resource policies and procedures.

Financial and Accounting Management - The Church is responsible for the financial resources which have been entrusted to it. This responsibility includes safeguarding Church assets, exercising prudence in financial matters, accountability to those who provide monetary support to the Church and to regulatory authorities, and compliance with all civil regulations. As such, the Church is committed to the highest standards of fiscal integrity and accountability. Strong systems of internal controls are needed to safeguard assets by reducing the risk of fraud or misuse of funds.
-Oversee finances for Ave Maria Catholic Church and School.
-Provide financial information to the Pastor and Finance Council for analysis of income and expenses. Assist the Pastor and Councils to understand the finances to help enact the mission and priorities of the Pastor.
-Direct the annual budgeting process in collaboration with the Accounting Manager, Parish Staff, Finance Councils and Volunteers. Alert the Pastor and Principal of significant deviations from the budget.
-Review bank statements and reconciliations provided by the Accounting Manager.
-Approve journal entries.
-Maintain good working relationships with our various vendors and service providers. Periodically reevaluate our agreements and provide vendors with documented feedback when problems occur.
-Facilitate the annual fiscal reviews for Ave Maria Catholic Church and School and guide the response to the management letter.
-Maintain, develop, implement and communicate Standard Operating Procedures (SOP's), in accordance with diocesan norms, for all financial practices and procedures.
-Provide internal financial controls including monitoring of bank accounts, bills and other financial documentation.
-Ensure necessary advice and consent are sought from the finance and parish councils for high dollar expenditures. Keep record of those meetings.

Facilities - The Business Manager is responsible for keeping the facilities maintained and updated. This may include improving or replacing capital items. In the near future we expect to do major remodeling or possibly building.
-Supervise Facilities Manager to make sure that Ave Maria campus is in compliance with county and state regulations including, but not limited to, safety inspections, zoning and building codes, fire codes, health department mandates, etc.
-Liaison with Catholic Mutual and internally oversees our risk management.
-Oversee the purchase of capital expenditures.
-Parish staff liaison with owner representative, Architect and Builder during construction projects.
-Follow construction guidelines from the Diocese of Colorado Springs on all major construction projects.
-Oversee operation of parish data and communications systems, telephone & computer, in addition to printing and postage equipment.
-In collaboration with the Systems Administrator, oversee maintenance and updating of associated computer software and hardware for Parish and School.

Development - The Business Manager is uniquely qualified to invite people to participate in the mission of the parish by making financial contributions, thus they will oversee the activities related to donor development.
-Review and balance generated expense reports following major fundraising events.
-Cooperate with the Director of Stewardship and Development to prepare quarterly financial disclosure to the parish.
-Oversee and implement systems for donor development, tracking and management
-Support the Pastor in his vision for the growth of the Parish
-Membership in the Parish Leadership Team (PLT)

Human Resources - The Business Manager generally participates in the hiring, training and supervision of parish staff and volunteers. He/she administers employee benefits for the Parish and School including insurance coverage, retirement plan, scheduling and payroll functions in accordance with diocesan, parish and school policies.
-Keep employee personnel files.
-Assist with hiring and onboarding new employees.
-Direct daily operations of the Parish office.
-Oversee payroll and other forms of compensation. Administer employee benefits programs. Act as point of contact for employee questions regarding salary and benefits.
-Ensure compliance with labor laws.
-Maintain current Parish Employee Personnel Policy Manuals.
-Maintain data in the MyEnroll (BAS) System: Employee data, benefits, compliance and pension.
-Conduct annual performance reviews with subordinates.
